Within the Data Center Group (DCG), we are seeking an experienced Administrative Assistant to support the DCG Engineering team located in San Jose, Ca. The position supporting the Engineering organization is a newly formed role and we are seeking an individual that enjoys working in an evolving team and dynamic organization.


The role requires you to be: experienced in providing administrative and project support to a dynamic team in a fast pace environment. The culture of DCG requires close collaboration, willingness to share ideas and open to jumping in and supporting other admins when needed.

 

As an administrative professional the ability to work on multiple diverse projects and tasks that support the DCG team will be required.  The ideal candidate will bring a blend of professionalism, expertise, passion and flexibility to the role.

 

Responsibilities:

  • Senior-level administrative support including heavy calendaring and meeting arrangements, travel coordination, data processing, expense reporting, meeting management, etc.
  • Coordinate and track key organization data (budget, travel, equipment, etc.).
  • Organize functional team events (group meetings, offsites, celebrations, etc.), facilitating communication with in-house and external contacts to ensure success.
  • Meet and greet guests, order all catering for meetings, and arrange all offsite lunches and dinner meetings.
  • Manages department purchases, including opening purchase orders and managing procurement card use and expenses.
  • Manage and track expense reports and receipts; reconcile corporate credit card accounts regularly according to company policy.
  • Handle candidate interview logistics as required.
  • Understand business operations and use this expertise to help improve operations and overall efficiency of the organization.
  • Understand that work is generally of a time sensitive or confidential nature.
  • Assist with special projects as assigned.

Preferred qualifications:

  • Relevant administrative experience
  • Bachelor’s Degree or a combination of education and experience that would approximate this level of professionalism
  • Proficient in Microsoft Office applications including Outlook, Word, PowerPoint, Excel, and SharePoint, with heavy emphasis in calendar management.
  • Excellent customer service and composure under pressure.
  • Experience working in a high paced technology company with a globally diverse, population.
  • Strong organizational skills, detail-oriented, ability to multitask and prioritize multiple projects in a timely manner.
  • Effective written and verbal communication skills with co-workers, clients and customers at all levels.
  • Demonstrated ability to partner well with others and build strong, effective relationships.
