Job Description


We are looking for an enthusiastic Office Administrator for our Kista office in Sweden with strong organisational skills, excellent attention to detail and ability to work on their own initiative.

Duties will include:
Office Adminastration;
Assisting with the day to day running of the office
  • Main point of contact for office suppliers (cleaners, photocopiers, etc)
  • General admin and secretarial support
  • Travel arrangements including flights, accommodation, transportation etc.
  • Ordering kitchen consumables for the office and ensuring kitchen area is always replenished/ stocked up and tidy
  • Ordering of office stationery and office equipment
  • General filing and maintenance of office systems
  • Main point of contact between Swedish office and other European offices
  • Dealing with inbound and outbound post and couriers, along with general office enquiries
  • Greeting and meeting visitors
  • Organizing catering for office meetings 

Finance / Accounting / HR

  • Prepare and approve invoices for both the Swedish and Finish Office for payment 
  • Mediate between the Finance department in Ireland and local companies such as banks, payroll etc.
  • Manage and update the communication between employees and pension providers.
  • Check and process the Expenses for the SE and FI office in Oracle.
  • Collate and prepare attendance information for the payroll.
  • Assist HR department with any request they might have, help out with recruitment and termination of staff.
  • Managing lease cars and mileage

  • Ability to priorities workload, oversee the running of the office, perform multiple tasks, adapt to changing deadlines, be a strong team player and remain calm under pressure!  Accuracy and attention to detail are key in this role as is a pro-active attitude.
  • Candidate must be confident in the use of Microsoft Office systems - including Word, Excel, PowerPoint, Outlook at intermediate levels.
  • Strong admin skills, excellent organisational ability and sound communication skills are essential.
  • Candidate should have experience in administration/secretarial role, with a minimum of 2 years’ office experience. Experience of working with financial administration is desirable.
  • Fluent Swedish & English.
